Events Co-ordinator (3-6 months)

Brief Overview of the Position

This position will provide vital support to the Events team who deliver 40+ events per year. You will join a small team who source, plan and deliver a full calendar of events across the country varying from conferences, incentive trips, dinners, awards, internal and external events.

Main Duties and responsibilities

  • Organising and overseeing a portfolio of internal events at Travel Counsellors which include Christmas Party, Summer Party, TC Kids and TC Family days, Charity events, head office awareness days and head office socials
  • Assisting the events team with the Travel Counsellors Annual Conference (1700 people)
  • Creation, co-ordination and communication of companywide Event emails
  • Creation and management of registrations and guest lists to Events
  • Research and source quotations for event elements including venues, transport, logistics, entertainment etc
  • Produce proposals and idea presentations for events
  • Management of Events email inbox, Conference inbox, TC Kids inbox
  • Management of Zendesk and delegate enquiries to the members of the team
  • Update company event communications on Message Board and create blogs on Xplor
  • Receive calls made to the Events Team and delegate the enquiry
  • Reporting into the Event Manager

Accountable for:

  • Internal events creation
  • Inbox management
  • Updating internal company communications on message board, Xplor etc
  • Ensuring all telephone calls are answered and emails are responded to in a timely manner

Summary of Key Attributes and Qualifications

  • Event Management degree or equivalent – ideal but not essential
  • Event management experience – ideal but not essential
  • Hospitality experience is beneficial
  • Knowledge of event registration and venue sourcing systems like Cvent
  • Good knowledge of Excel, Word, PowerPoint
  • Experience of using Outlook or another email provider
  • Great administrative skills
  • Must have excellent attention to detail
  • Professional telephone manner
  • Excellent time management required
  • Excellent communication skills including written and spoken
  • Team player - Must be willing to go the extra mile and undertake tasks as and when required
  • Willing to learn - Would suit someone who is looking to gain experience in all types of events and would like to undertake challenges and creative tasks
  • Industry knowledge - Would suit someone who has knowledge of a variety of venues and set ups
  • Problem solving - As a small team we undertake a wide range of tasks – this role requires someone to be able to react quickly when required and think outside of the box

  • Driving license
  • Able to work flexible hours where necessary
  • Able to work at least 2 weekends per year
